This guide will walk you through everything you need to know to set up and use WALE — from connecting your WhatsApp number to watching the AI qualify leads automatically. No technical knowledge required.

What is WALE?

A plain-English explanation of what this software does.

WALE stands for WhatsApp AI Lead Engine. Think of it as a smart assistant for your WhatsApp business number that never sleeps.

When a customer messages your WhatsApp number, WALE:

Think of it this way: WALE is like hiring a 24/7 sales agent for WhatsApp who never takes a break, never misses a message, and automatically tells you which customers are most likely to buy.

All of this happens automatically in seconds. You only need to set it up once. After that, WALE handles every new customer message on its own.

Logging In

How to access your WALE dashboard.

    Open your browser

    Use Google Chrome, Firefox, or any modern browser. Type your WALE URL in the address bar and press Enter.

    Enter your Email and Password

    Type your login email and password (sent to you by email when your account was created). Click Sign In.

    You are now on the Dashboard

    After logging in successfully, you will see your main dashboard with summary numbers and recent activity.

Forgot your password? Click the "Forgot Password" link on the login page. You will receive an email with a link to reset it. Check your spam folder if you don't see it.

Connecting Your WhatsApp

Link your Meta WhatsApp Business number to WALE. Do this first before anything else.

Before you begin: WALE connects to your number through Meta's WhatsApp Cloud API. You'll need four things from Meta: a Phone Number ID, a WABA ID, a Permanent Access Token, and a Verify Token that you make up yourself.
First time doing the Meta setup? Don't worry — the full, click-by-click walkthrough is in the next section: Meta Setup (Step-by-Step). It covers creating the app, generating a permanent token, verifying your number, configuring the webhook, and going live. Do that first, then come back here to plug your credentials into WALE.
Keep your Access Token private. This token is like a password. Never share it with anyone, never post it in a chat, and never include it in a screenshot. WALE encrypts it automatically for your safety.

Entering your credentials into WALE

    Go to Settings → WhatsApp

    In the WALE sidebar, click WhatsApp under the Settings section.

    Enter the details you copied from Meta. See the field descriptions below.

    Click "Save WhatsApp Config"

    Once saved, the page will show a green "Connected" banner if everything is correct.

Field Descriptions

Configuring the Webhook

Copy the Webhook URL from the WALE WhatsApp settings page, paste it into Meta's Webhook section along with your Verify Token, click Verify and Save, then turn on the messages subscription. The full click-by-click version is in Meta Setup → Part E.

How to confirm it worked: Send a WhatsApp message to your business number from any phone. Within a few seconds, you should see a new lead appear in WALE → All Leads.

Meta Setup — Step by Step

The complete, click-by-click guide to everything you do inside Meta/Facebook to connect your WhatsApp number to WALE. Follow the parts in order.

Two stages: Parts A–E + G get WhatsApp working in test mode (you can message a few numbers you add yourself) in about 20–30 minutes. Part F (Business Verification + App Review) is what lets you message any customer in production — start it early because Meta's review can take several days.

Before you begin

Part A — Create your Meta App

    Open the developer site

    Go to developers.facebook.com and log in with your Facebook account. If it's your first time, click Get Started and accept the terms.

    Create a new app

    Top-right → My AppsCreate App. If asked "What do you want your app to do?", choose OtherNext.

    Choose the "Business" app type

    Select BusinessNext.

    Fill in the details

    Enter an App name (e.g. "MyCompany WALE"), your contact email, and link your Business portfolio (create one if the dropdown is empty). Click Create app and re-enter your password if prompted.

    You're on the App Dashboard

    Your App ID is shown under App settings → Basic. Keep this tab open — you'll be coming back here.

Part B — Add WhatsApp & copy your IDs

    Add the WhatsApp product

    On the dashboard, scroll to Add products to your app, find WhatsApp, and click Set up. Link your Business portfolio if asked.

    Open WhatsApp → API Setup

    In the left sidebar, expand WhatsApp and click API Setup (sometimes called Quickstart).

    Copy your two IDs

    On this page Meta gives you a free test number. Copy:

    • Phone number ID — the long number shown under the "From" number.
    • WhatsApp Business Account ID (WABA ID) — shown near the top of the page.

    Add a test recipient

    Under the To field, add your own personal WhatsApp number and confirm the code Meta sends. In test mode you can only message numbers added here.

The token on this page is temporary — it expires in 24 hours. It's fine for a one-off test, but if you paste it into WALE your connection will stop working tomorrow. For a connection that lasts, generate a permanent token in Part C.

Part C — Generate a Permanent Access Token

A permanent token belongs to a System User (a non-human "robot" account inside your business) and can be set to never expire. This is the token WALE uses to send messages on your behalf.

    Open Business Settings

    Go to business.facebook.com/settings (or click the gear / Business Settings from your app). Make sure the correct business is selected top-left.

    Create a System User

    Left menu → Users → System UsersAdd. Give it a name like "WALE Integration", set the role to Admin, and click Create.

    Assign your assets to it

    Select the new System User → Assign assets. Assign both:

    • Apps → your app → enable Full control / Manage app.
    • WhatsApp accounts → your WABA → enable Full control.

    Click Save changes.

    Generate the token

    Still on the System User, click Generate new token. Choose your app, and for Token expiration select Never.

    Tick the right permissions

    Check both whatsapp_business_messaging and whatsapp_business_management, then click Generate token.

    Copy the token immediately

    It starts with EAA… and is shown only once. Copy it somewhere safe — this is your Permanent Access Token for WALE.

Treat this token like a password. Anyone with it can send WhatsApp messages as your business. Never share it, post it in chat, or put it in a screenshot. WALE encrypts it (AES-256) the moment you save it.

Part D — Add & verify your business number

The free test number is fine for trying things out, but to message real customers you add your own business number.

    Open the phone number manager

    Go to WhatsApp → API Setup and click Add phone number (or open WhatsApp Manager → Phone numbers → Add phone number).

    Enter your business details

    Fill in your business display name and the phone number, then choose to verify by SMS or voice call.

    Enter the verification code

    Type the code Meta sends to finish adding the number.

    Copy this number's Phone Number ID

    Each number has its own Phone Number ID. Use your business number's ID in WALE (not the test number's) once you're ready to go live.

Part E — Configure the Webhook

The webhook is how Meta delivers every incoming customer message to WALE. You set this up once.

    Get the URL & token from WALE

    In WALE, open Settings → WhatsApp. Type any secret phrase into Webhook Verify Token (e.g. my_secret_wale_2026) and click the copy button next to the Webhook URL.

    Open the webhook settings in Meta

    In your app: WhatsApp → Configuration. Next to Webhook, click Edit.

    Paste and verify

    Callback URL = the WALE Webhook URL. Verify token = the exact phrase you set in WALE. Click Verify and save.

    Subscribe to "messages"

    Still under Configuration → Webhook fields, click Manage and toggle messages ON. This is what makes incoming chats flow into WALE.

Your WALE site must be reachable over HTTPS for "Verify and save" to succeed. If verification fails, the most common causes are an http:// (not https://) address, the site not being publicly accessible, or the verify token not matching exactly.

Part F — Go Live for production

While your app is in Development mode, you can only message the few numbers you added in Part B. To message any customer, your app must be Live with approved permissions.

    Verify your business (start this first — it's slow)

    Business Settings → Security CenterStart verification. Submit your legal business documents (registration / trade licence / utility bill). Meta's review can take a few days to two weeks.

    Request Advanced Access to the permissions

    App Dashboard → App Review → Permissions and Features. Request Advanced Access for whatsapp_business_messaging and whatsapp_business_management.

    Complete the basic app info

    App settings → Basic: add a Privacy Policy URL, an app icon, a category, and a short description. These are required before going live.

    Switch the app to Live

    At the top of the App Dashboard, flip the mode toggle from Development to Live.

Quick rule of thumb: if WALE works when you message it from your own (added) phone but not from a stranger's, you're still in Development mode — finish Part F to remove that limit.

Part G — Plug into WALE & test

    Enter your credentials

    In WALE: Settings → WhatsApp. Paste your Phone Number ID, WABA ID, Permanent Access Token, and the Verify Token (the same phrase from Part E). Click Save WhatsApp Config.

    Check the green banner

    A green "WhatsApp Connected" banner means your credentials and webhook are good.

    Send a real test message

    From another phone, send a WhatsApp message to your business number. Within seconds a new lead should appear in Leads → All Leads.

    Turn on the AI

    Make sure you've added your OpenAI key and prompt in Configure AI so WALE replies automatically. Without it, leads are still saved but no auto-reply is sent.

Troubleshooting common Meta errors

SymptomCause & fix
Webhook "Verify and save" fails WALE not on HTTPS, not publicly reachable, or the verify token doesn't match exactly. Re-copy the token and confirm the URL opens in a browser.
Connection stops working after ~1 day You pasted the temporary 24-hour token. Generate a permanent System User token (Part C) and re-save it in WALE.
No leads appear when you message the number The messages webhook field isn't subscribed (Part E, step 4), or the wrong Phone Number ID is saved in WALE.
Error: "Recipient phone number not in allowed list" (#131030) You're in Development mode. Either add that number under API Setup → To, or complete Part F to go Live.
"Cannot register number / already in use" The number is still active on the consumer WhatsApp app. Delete that WhatsApp account on the phone, then add the number again.
Leads save but the AI never replies OpenAI key missing/invalid, or AI auto-reply is OFF on the conversation. See Configure AI and the conversation's AI toggle.
You only do this once. After the number is connected and the app is live, WALE keeps handling every message automatically — you won't need to touch the Meta dashboard again unless you add another number.

Configuring the AI

Tell the AI who it is, how it should talk, and how to qualify your leads.

Go to Settings → AI Config in the sidebar. This page has four sections explained below.

OpenAI API Key

The AI is powered by OpenAI (the makers of ChatGPT). To use it, you need an API key from OpenAI.

    Go to OpenAI's website

    Visit platform.openai.com/api-keys and log in (or create a free account).

    Create a new Secret Key

    Click + Create new secret key. Give it a name like "WALE". Copy the key — it starts with sk-proj-....

    Paste it into WALE

    In the OpenAI API Key field on the AI Config page, paste your key and click Save AI Configuration.

OpenAI is a paid service. You will be charged by OpenAI based on how many messages the AI processes. The cost is very small per message (fractions of a cent), but ensure you have a valid payment method added to your OpenAI account.

Model & Parameters

System Prompt

The System Prompt is the instruction sheet you give to the AI before it talks to any customer. It tells the AI: Who are you? What do you sell? How should you speak?

Example System Prompt:

"You are a friendly sales assistant for Pixalab Technologies. Your goal is to understand the customer's business needs and recommend our software solutions. Always be polite, professional, and concise. Ask about their budget and timeline within the first 3 messages. Respond only in English."

You can use variables inside curly braces to automatically insert live data. Click any variable button on the page to insert it:

Fallback & Lead Qualification

Live Test Console

At the bottom of the AI Config page, there is a Test Console. Type a test message (e.g. "Hi, I need help with my business") and click Test. The AI will reply instantly so you can see exactly what your customers will see — without sending any real WhatsApp message.

Always test your System Prompt using the Test Console before going live. Keep refining it until the AI replies sound exactly how you want.

Dashboard

Your command centre — see everything at a glance.

The Dashboard is the first page you see after logging in. It gives you a quick summary of how your business is performing on WhatsApp.

Managing Leads

View, search, and manage every customer who has ever messaged you.

Go to Leads → All Leads in the sidebar. Every person who messages your WhatsApp number is automatically saved here as a lead.

Understanding Lead Status

Each lead has a status badge that tells you where they are in the sales process:

Hot High intent, ready to buy. Take over manually and close the deal!
Converted Agreed to buy / booked. Mark them converted and proceed with fulfilment.
Lost Not interested or unresponsive. No action needed for now.

Lead Score

Each lead also has a score from 0 to 100 set by the AI. The higher the score, the more likely this person is to become a customer. A score of 80+ is excellent — prioritise these leads immediately.

What you can do on this page

Conversations

Read every message, send manual replies, and control the AI — all from one screen.

Click Conversations in the sidebar to see a list of all active chats. Click any conversation to open it.

Inside a Conversation

When to turn off AI Auto-Reply: If you want to take over a conversation personally — for example, to negotiate a deal — turn off the AI toggle for that conversation. The AI will stop replying and you can type manually. Turn it back on when you're done.
Live indicator: The top-right corner shows a ● Live badge when WALE is connected to WhatsApp and actively receiving messages. If you see a red badge, check your WhatsApp settings.

Funnels

Automated message sequences that guide a lead through your sales process.

A Funnel is an automated WhatsApp conversation — a sequence of steps that runs by itself. Unlike a fixed timed sequence, a funnel is reply-driven: it sends a message, can wait for the lead's answer, branch based on what they say, and update the lead — all without you typing anything.

Example: a new lead messages → the funnel greets them → asks "Are you looking to buy or rent? Reply 1 or 2" → waits → if they reply 1 it asks their budget and tags them "Hot"; if 2 it sends rental options → then ends with "Our team will call you shortly."

1 — How a funnel starts (Trigger)

Every funnel has exactly one trigger:

2 — The four step types

A funnel is built from steps. Each step does one thing:

Step typeWhat it does
Send MessageSends a WhatsApp message, then moves on automatically (no waiting). Use for greetings, info, closing lines.
Ask QuestionSends a message and then waits for the lead's reply before continuing. (See answer types below.)

End FunnelMarks the funnel finished for this lead. (A funnel also ends automatically after its last step.)

For "Ask Question" steps, choose how the lead should answer:

3 — Default Next Step

Every step has a Default Next Step — where the funnel goes once this step finishes:

On Ask Question steps, the Default Next Step is the fallback — it's only used when none of the step's Conditions match the reply.

4 — Branching with Conditions

On an Ask Question step you can add Conditions to send leads down different paths based on their answer. Conditions are checked top-to-bottom and the first match wins. Each one has a type, a value to match, and the next step to jump to:

Always add an "Any reply (catch-all)" condition last, pointing to a "Sorry, I didn't understand — please reply 1 or 2" step, so unexpected answers are handled gracefully.

5 — Personalise with variables

Put variables in {curly_braces} in any message and WALE replaces them with live data when sending:

Two shortcuts to get started fast

Building from scratch is optional. On the Funnels page you'll find:

Both shortcuts create the funnel Paused — nothing goes live to customers until you review it and switch it Active.

How to build a funnel manually

    Funnels → Create New Funnel

    Give it a clear name and (optional) description.

    Pick the Trigger

    Manual, Keyword, or Auto-start for new leads.

    Add Step

    Choose the step type and write the message / question. Use {variables} to personalise it.

    Configure the step

    For a question: pick the answer type and (optionally) "Save answer as". For an action: choose status / note / tag.

    Set the path

    Choose the Default Next Step, and on question steps add Conditions to branch.

    Order & finish

    Drag steps to reorder. Toggle Active on and click Save Changes.

Tracking funnel runs (Sessions)

Every time a funnel runs for a lead, WALE creates a Session. Open Funnels → Sessions to see who is currently in a funnel, each run's status (Active, Completed, or Abandoned), and the answers collected along the way.

WhatsApp 24-hour rule: Meta only allows you to send free-form messages within 24 hours of the customer's last message. After that, you can only send pre-approved Template messages. Design your funnels with this in mind.

Automations

Set rules that trigger actions automatically — no manual work needed.

Automations are if this, then that rules. You define a trigger (something that happens) and an action (what WALE does in response).

Example Automations
When a new lead arrives → Start the "Welcome Funnel"
When lead score reaches 80+ → Send a notification to the sales team
When status changes to "Converted" → Send a thank-you template message

How to create an Automation

    Go to Automations in the sidebar

    Click Automations and then New Automation.

    Choose a Trigger

    Select what event starts the automation — for example, New Lead, Status Change, or Keyword in message.

    Choose an Action

    Select what happens — for example, Send a message, Start a Funnel, or Change lead status.

    Save and Activate

    Click Save. The automation will run automatically from now on.

Message Templates

Start a chat with a customer before they message you — or re-engage one after 24 hours.

Why templates exist — the 24-hour rule: WhatsApp only lets you send free-form messages within 24 hours of the customer's last reply. To message someone who has never contacted you, or who last replied over 24 hours ago, you must send a pre-approved template. A normal message will simply fail. This is a Meta rule, not a WALE limitation.

What is a template?

A template is a message you create and get approved by Meta in advance (in the Meta WhatsApp Manager). It can contain variables like {{1}}, {{2}} that you fill in when sending — for example a name or an order number. Once approved, you can send it to customers anytime, even outside the 24-hour window.

1 — Sync your templates from Meta

WALE reads your approved templates directly from Meta — you never re-type them.

    Create the template in Meta

    In Meta WhatsApp Manager → Message Templates, create your template and submit it for approval. Approval usually takes a few minutes to a few hours.

    Click Templates in the sidebar.

    Click "Sync from Meta"

    WALE pulls every approved template into the app, with its variables detected automatically.

Syncing needs your WhatsApp Access Token and WABA ID saved under Settings → WhatsApp, and the token must have the whatsapp_business_management permission. If sync fails, WALE tells you exactly what's missing.

2 — Send a template to one customer

There are two ways to reach a single customer:

On the compose screen, pick a template, fill in any variables, watch the live preview, and click Send Template. The sent message appears in the conversation thread.

3 — Broadcast to many customers

Click Broadcast on the Templates page to send one template to many leads at once.

    Choose any approved template — with or without variables.

    Personalise each variable

    For every variable, choose where its value comes from — the Lead name, Phone, Email, Status, Source, or a fixed custom text. WALE fills it in per recipient, so Hi {{1}} becomes each person's real name.

    Tick individual leads or use Select all (up to 200 per send).

  4. 4
    Send Broadcast

    WALE sends each personalised message and reports how many succeeded. Any failures appear in Notifications.

Only message people who opted in. Sending unsolicited broadcasts can get your WhatsApp number flagged or banned by Meta. Templates in the Marketing category also carry a per-message cost set by Meta.

What happens after you send

A template is the door-opener. The moment the customer replies, the 24-hour window opens and everything else takes over automatically — your AI auto-reply, and any new-lead or keyword funnels and automations run as normal, using free-form messages. You don't need to configure anything extra.

Tip: A great pattern is a short greeting template ("Hi {{1}}, thanks for your interest! How can we help?") that invites a reply — then your AI and funnels handle the rest of the conversation.

Analytics

Understand how your WhatsApp sales channel is performing over time.

Go to Analytics in the sidebar. Here you can see charts and numbers that show:

Conversion Rate The percentage of leads that became paying customers. The higher, the better.
Lead Status Breakdown A pie chart showing how many leads are New, Hot, Warm, Converted, and Lost.
AI Reply Volume How many AI messages were sent. Also shows OpenAI token usage (for cost tracking).
Response Time Average time between a customer's message and the AI's reply (usually under 5 seconds).
Review Analytics once a week. If the conversion rate is low, consider improving your System Prompt to make the AI more persuasive. If leads are dropping off early, your Funnel may need a stronger hook in the first message.

Notifications

Know instantly when a message doesn't reach a customer.

WALE keeps you informed when something needs your attention — most importantly, when a WhatsApp message fails to deliver (for example, when you try to message a customer outside the 24-hour window). You'll see these alerts in two places:

Failed messages are also shown right in the conversation — the message bubble turns red with a ✗ Failed marker and the exact reason underneath (e.g. "more than 24 hours have passed since the customer last replied").

Most common alert: "WhatsApp message not delivered — more than 24 hours have passed…". The fix is to re-engage that customer with a Message Template.

Profile & Account Settings

Update your personal details, company name, timezone, and password.

Go to Settings → Profile in the sidebar.

My Plan & Usage

See your plan's limits, track your usage, and know what to do when you hit a cap.

If you signed up through a paid plan, your account has monthly allowances. Open My Plan in the sidebar to see your current plan, this cycle's usage, and which features are included.

What's limited

Usage resets every cycle. Your counters reset on each monthly anniversary of your subscription, not on a fixed calendar date. The Dashboard shows live usage bars that turn amber as you approach a limit.

What happens when you reach a limit

Lead limitAdding leads manually or via the API is blocked. Inbound WhatsApp messages still create the lead — you never lose a real customer — but they count toward your cap.
Need more? To upgrade, contact your administrator — they can move you to a higher plan instantly. If your subscription expires, you'll see a "subscription inactive" screen until it's renewed.

Platform Admin — Overview

For the person who owns and runs this WALE installation (the Super Admin).

Two kinds of users. Everything above is for business users (your customers / tenants) who connect WhatsApp and work their leads. The sections below are for the Super Admin — you, the platform owner — and these menus appear only when you're logged in as the Super Admin.

As the Super Admin you manage the whole business:

Managing Tenants

Create and manage the business accounts on your platform. (Super Admin → All Tenants)

Adding a tenant manually

    All Tenants → Add Tenant

    Enter their name, email, company, timezone, status, and a starting password.

    They get a welcome email

    WALE emails the new tenant their login URL and credentials automatically (requires Email/SMTP to be configured).

Managing existing tenants

Tenants without a subscription are unrestricted. Manually-created accounts with no plan attached aren't limited. Plan limits apply once you assign them a plan (or they buy one).

Plans

Define the subscription tiers shown on your pricing page. (Super Admin → Plans)

Plan fields

A plan that customers are already subscribed to can't be deleted — deactivate it instead so it disappears from pricing without breaking existing subscriptions.

Sales Page & Payments

Your public pricing page and the payment gateway that powers signups. (Super Admin → Sales & Payments)

Get PayPal credentials at developer.paypal.com → Apps & Credentials. Test with Sandbox keys + a sandbox buyer account first, then switch to Live. The payment layer is built to support more gateways in future.

Email / SMTP

The mail server WALE uses for all system emails. (Super Admin → Email / SMTP)

Configure your SMTP details right in the admin panel — no file editing. These settings power the welcome emails, password resets, and account-status notices.

Set this up early. Until SMTP is configured and the test email works, password resets and welcome emails won't send. Tip: SSL → port 465, TLS → port 587.

Branding & White-Label

Make WALE look like your own product. (Super Admin → Branding)

Branding applies everywhere — the admin panel, the login & pricing pages, and outgoing emails — so your customers see your brand, not "WALE".

Changing the app language

Every text you see in WALE can be translated. Out of the box the app ships in English; the Application Language dropdown only lists the languages that have been installed, so English is the only choice until a translation is added.

To add a new language (a one-time setup, done in the files on your server):

  1. In the app folder, copy app/Language/en to a new folder named with the language code — e.g. app/Language/es for Spanish, app/Language/fr for French, app/Language/ar for Arabic.
  2. Open each .php file inside the new folder and translate the text on the right of =>. Leave the names on the left and any {0} markers exactly as they are.
  3. Back in the app, open Super Admin → Branding, choose your new language under Application Language, and click Save.
Anything you don't translate falls back to English automatically, so a half-finished translation never breaks a page. Right-to-left languages (Arabic, Hebrew, Farsi, Urdu…) switch the layout direction for you.

Why is the AI not replying to messages?
Check the following in order:
  1. Go to Settings → AI Config and make sure your OpenAI API Key is saved.
  2. Go to Settings → WhatsApp and confirm it shows "WhatsApp Connected".
  3. Open the conversation and check that AI Auto-Reply is ON (the button should be orange/yellow).
  4. Check that your OpenAI account has a valid payment method at platform.openai.com/billing.
The AI is sending two copies of the same message — why?
This means the code update that fixes message deduplication hasn't been deployed to your server yet. Contact your developer and ask them to deploy the latest version of AIService.php and WhatsAppService.php.
Can I see the AI reply before it goes to the customer?
Yes! Use the Live Test Console at the bottom of Settings → AI Config. Type any message and the AI will reply instantly — this is a dry run and no real WhatsApp message is sent.
How do I take over a conversation from the AI?
Open the conversation in WALE. On the left panel, click the AI Auto-Reply: ON button to turn it OFF. The AI will stop replying. You can now type messages manually in the text box at the bottom. When you're done, click the button again to re-enable the AI.
My leads are not being saved. What's wrong?
This usually means the WhatsApp webhook is not configured correctly. Check:
  1. The Webhook URL in Settings → WhatsApp is correctly pasted in Meta's webhook section.
  2. The Verify Token in WALE matches exactly what you entered in Meta.
  3. You have subscribed to the messages field in Meta's webhook subscriptions.
Can I change the language of the app?
Yes. WALE is fully translatable. Your administrator adds a language by copying the app/Language/en folder to a new language code (e.g. app/Language/es) and translating the text inside, then selecting it under Super Admin → Branding → Application Language. The whole app — panel, login/pricing pages, emails and buttons — switches to that language. See the Branding & White-Label section for the full steps.
Can I use WALE for multiple WhatsApp numbers?
Each account (tenant) in WALE supports one WhatsApp number. If you need multiple numbers, your administrator can create additional accounts — one per number.
How much does the AI cost to run?
The AI cost depends on the OpenAI model you choose and how many messages are processed. As a rough guide, GPT-4o Mini costs approximately $0.00015 per message on average. For 1,000 conversations per month, this is usually less than $1–2 USD. Check OpenAI's pricing page for current rates.
Is my data secure?
Yes. WALE takes security seriously:
  • Your WhatsApp Access Token and OpenAI API Key are encrypted using AES-256-CBC encryption before being stored in the database.
  • All communication between WALE and Meta / OpenAI uses HTTPS (encrypted connections).
  • Passwords are hashed using bcrypt and are never stored in plain text.
The AI is replying in the wrong language. How do I fix it?
Go to Settings → AI Config and change the Response Language dropdown to the correct language. Also add a line to your System Prompt like: "Always reply in Hindi, regardless of what language the customer uses." Then click Save.
A feature (CSV export, analytics, API…) is locked or hidden. Why?
It isn't included in your current plan. Open My Plan to see what's included, and contact your administrator to upgrade. (Admins: set which features each plan includes under Super Admin → Plans.)
The AI stopped replying / I can't add more leads.
You've likely hit your plan's monthly limit for the current cycle. Check the usage bars on your Dashboard or the My Plan page. Inbound WhatsApp messages are still captured, but AI auto-replies pause and manual lead-adding is blocked until you upgrade or the cycle resets.
(Admin) How do customers sign up and pay?
Share your public pricing page at /pricing. Customers pick a plan, pay via PayPal (configure it under Super Admin → Sales & Payments), and WALE automatically creates their account and emails their login. Free plans skip payment. For offline payments, you can manually mark an order Paid in Super Admin → Orders.
(Admin) How do I change or renew a tenant's plan?
Open the tenant under Super Admin → All Tenants. From their page you can assign a plan, extend it (up to a year), or cancel it. This controls their limits and access immediately.
